1. How to book a villa?
How nice that you have found a beautiful villa on our website for your vacation. What's next?
- On the website, select the villa of your choice by clicking the 'Discover this villa' button
- Then click on 'Price quote and book
- The calendar will appear, and you can choose an arrival and departure date
- You will see the price quote
- If desired, you can adjust the number of people
- Fill in your personal details
- Agree to VillaSud's General Terms and Conditions.
After you have placed your booking request online;
- You will receive an email immediately confirming that we have received your request.
- Your request will be forwarded directly to the owner of the respective villa.
Within 24 hours, we will contact you by phone to discuss the request with you and answer any questions. If the owner approves your request, you will receive the booking confirmation by email, usually within 24 hours."
2. All-in price
"You will immeditately see exactly what to expect. The displayed amount is the all-inclusive price. It includes everything you need for a perfect stay in this villa with 2 adults. Going on vacation with more or fewer people? Then the amount will be adjusted in the price quote you see.

Additional Options: During your booking request, you can often book extra options. These options vary from villa to villa and may include items such as extra cleaning, pool heating, or a crib. If you choose these option(s), you will see a (potential) surcharge for them listed in the price quote/booking confirmation. All prices shown include VAT.
3. Payment
The payment consists of an initial and a final payment.
- On the booking confirmation, also an invoice, you will find the due date(s) for the payment(s).
- The initial payment is 35% of the invoice amount and is to be paid within 3 working days after receiving the bookingconfirmation.
- We kindly request the remaining amount, the final payment, to be settled 8 weeks prior to the start of your stay.
- If you have made a booking within the 8-week period before the start of your stay, you will be required to pay the full amount at once.
- Sometimes, linen and final cleaning costs need to be paid locally. In such cases, it will be mentioned accordingly on your booking confirmation.
For your convenience you have also received a payment link along with the booking confirmation. Unfortunately, it is not possible to pay by credit card.
4. Travel Documents
You will receive travel documents by email, 2 weeks before the start of your stay, after you have paid the full invoiced amount. These travel documents will include the villa's address, the name, and phone number of the caretaker, as well as practical information regarding your stay.
5. Arrival and departure
Each booking has an arrival and departure date, which is stated on your booking confirmation.
- You are warmly welcome on the day of arrival between 16:00 and 19:00.
- On the day of departure, we kindly ask you to vacate the property by 10:00.
We often receive requests for early arrival, but unfortunately, it is not possible. Each villa is thoroughly cleaned after the guests' stay to ensure it is in pristine condition upon your arrival. Cleaning takes time, and we appreciate your understanding.
All our villas are rented on a weekly basis with arrival days on Friday, Saturday, or Sunday. Sometimes, in the months of April, May, September, and October, it is possible to rent for a period other than a full week, such as 9 days. If you are interested in this option, please contact us.
6. Welcome
Upon your arrival, you will often be personally greeted by a property manager or caretaker. The caretaker is a representative of the owner and will help orient you in the villa and be happy to answer your questions. Please note that the caretaker does not work for VillaSud, although this is sometimes a common misconception.
We kindly request that you contact the caretaker approximately 2 hours before your arrival to ensure a smooth check-in process. You will receive the contact information of the caretaker along with your travel documents 2 weeks before the start of your stay.
It may happen that you are not personally greeted, but the villa's key is ready for you in a keybox. In such cases, the caretaker will always contact you to assist with your arrival
7. Pets
Pet-friendly policies vary among our property owners, and we offer three different options on our website:
- Pets allowed. Your dog is very welcome.
- No pets allowed. In this case, pets are strictly prohibited.
- Pets on request. This means that whether or not your pet is welcome depends on the type of dog.
Even if pets are allowed, please ensure that your pet does not jump on the furniture or beds or enters the pool, or relieves itself on the grounds.
8. Questions on site
If you have any questions during your stay about the villa, we kindly ask you to first contact the caretaker. The caretaker knows the villa best and is there to answer your questions and resolve any issues.
Often, there is also an information folder in the property with local tips, such as recommended restaurants and practical information about the house.
If the caretaker cannot satisfactorily answer your question, you can always contact VillaSud. We will then get in touch with the caretaker or the owner to discuss the situation.
9. Water usage
Severe water shortages have been reported in Southern France, including the VAR department. Since March 25, 2023, the local authorities have decided to restrict the use and consumption of water in this region.
We kindly request your cooperation and understanding in working together with the villa owner to ensure responsible water usage. This request is not only in compliance with government regulations but also with consideration for the tenants after you and in solidarity with the local population.
10. Security deposit
For every booking, a security deposit is required by the owner. Assuming that the villa is left in good condition and no accidents have occurred, you will receive the security deposit approximately 2 weeks after the end of your stay
11. Tourist taxe
On every stay in Southern France, tourist tax is applicable. Villasud will charge you the tourist tax, and the applicable rates are often found on the webpage of the respective municipality.
Sometimes, VillaSud may make an adjustment with the security deposit, for example, if there has been a change in your travel group or if there has been an interim change in the rates by the respective municipality.
12. Cancellation Insurance
We recommend that you have a good cancellation insurance in place. If you already have a cancellation insurance, please check whether renting a holiday villa is covered for the full invoiced amount of your booking.
If you do not have cancellation insurance, you can purchase an All-Risk Cancellation Insurance through VillaSud within 7 days after the date mentioned on the booking confirmation.
If you choose not to take out cancellation insurance, the cancellation costs will be entirely your responsibility. Please refer to the 'Cancellation' section on this page for more information
13. Cancellation
We certainly hope it doesn't happen, but there may be occasions when you need to cancel your booking. In such cases, the following cancellation fees apply:
- For cancellations made eight weeks or more before your stay, 35% of the invoiced amount (the deposit) is due.
- For cancellations made within the eight-week period before your stay, 100% of the invoiced amount is due.
- In case of early departure from the villa, 100% of the invoiced amount is also due.
14. Terms & Conditions
The services provided by VillaSud are subject to the ANVR Booking Conditions for 'separate travel services' (§ 3). By accepting a booking confirmation, you agree to these terms and VillaSud's Additional Terms and Conditions. You can view the General Terms and Conditions on this webpage.
Furthermore:
- VillaSud is affiliated with the Stichting Garantiefonds Reisgelden (SGR).
- VillaSud is registered as a Travel Agent with the ANVR.
- The guarantee scheme of the Calamiteitenfonds applies to this agreement
15. Rental Agreement
An important notice from the fine print: VillaSud has acted on behalf of the owner of the villa to mediate between you as the tenant and the owner of the villa as the lessor. As a tenant, you enter into the rental agreement directly with the lessor. Therefore, the owner or lessor is responsible for the execution and quality of this rental agreement.
That being said, in practice, unless in exceptional cases, you do not have direct contact with the owner or lessor. VillaSud serves as your point of contact. You book through our website and you communicate with our service desk for all your inquiries. Strictly from a legal perspective, we act on behalf of the owner in the formation of the rental agreement with you.
